Transcribe, do not interpret
Record the model or catalog identifier first. Then copy labeled fields such as voltage, horsepower, service factor, speed and frame exactly as shown, if present. If two values appear, keep both and let the qualified installer interpret them.
Handle missing information honestly
Write “unreadable” beside a missing character rather than filling it from a similar online photo. Keep the pump label as a separate record. Do not remove covers or reach around energized equipment to retrieve a number.

- Full identifiers, punctuation and suffixes
- Field labels alongside their values
- Uncertain characters marked explicitly
A common question
Can the motor label identify every pump part?
Keep the pump’s own model too. The motor record and the pump assembly record answer different parts of the supplier’s matching process.
A useful starting message
My motor label reads [exact transcription]. These characters are unclear: [details]. The pump model is [model].
